Pre-Travel/Booking
How early should I start planning my trip?
We recommend a minimum of 3-6 months planning time before your departure whenever possible. The properties we work with are boutique properties, which means a lovely intimate experience for guests, but also means that there are fewer rooms available to book.
Still, if you only have a couple of weeks before your departure, don't worry! We can work around hotel availability and come up with an itinerary that meets your needs, regardless.
Do I need travel insurance? Do you offer it?
We strongly recommend purchasing comprehensive travel insurance for peace of mind. While we don’t sell insurance directly, we’re happy to refer you to trusted providers and explain what type of coverage to look for.
What types of travelers do you plan for?
We plan private trips for couples, families, solo adventurers, multi-generational groups, and small groups of friends. Every itinerary is completely custom, designed around your travel style, pace, and preferences.
Can I customize my itinerary?
Absolutely! The itineraries on our site are not set in stone; instead, they are meant to be a source of inspiration and meant to give you ideas for what your trip could look like.
Every trip we plan is custom-built around each client's wants, needs and budget. Your trip won't look exactly like anyone else's.
Can you help with flights?
While we don’t usually book international flights directly, we can provide guidance on routes, timing, and airport options. For domestic flights within your destination, we typically include those in your itinerary if needed.
Do you offer group trips or just custom itineraries?
Our focus is bespoke, tailor-made travel. While we occasionally curate small group departures or retreats, most of our trips are fully private and designed from scratch around your interests.
We custom-build trips for each client, so you won't be traveling with a group unless you want to, and you bring your own crew along.
What if I don't know where I'd like to go yet?
That’s perfectly fine, and actually quite common. We’ll ask the right questions to uncover what excites you, and guide you toward the destination that best fits your style, interests, and season of travel.

Payment
What's included in the trip cost?
Your total cost includes all the elements outlined in your personalized itinerary typically accommodations, tours and activities, guides, in-country transportation, park entrance fees (though not always), and any special touches we’ve arranged. You’ll receive a clear breakdown before confirming.
What's not included?
All trips are different. For most trips, international flights, travel insurance, and most tips or gratuities are not included unless noted. We’ll flag any optional add-ons, such as spa treatments or premium room upgrades, so there are no surprises.
What payment methods do you accept?
We accept credit card payments, or wire transfers to our bank account. There are no additional fees to pay via credit card, though international wire transfers may incur a cost (usually around USD $35-50, depending on your financial institution). Trip prices are quoted and charged in USD.
Can I pay in installments?
Absolutely. We’re happy to break your balance into multiple payments to make planning feel more manageable. Just let us know what works best for you.
What is your payment schedule?
We require an initial deposit to secure your accommodations and experiences. The remaining balance is typically split into one or two payments, with the final amount due 45-60 days before travel. We’ll confirm the exact schedule when you book.
Is my deposit refundable?
Deposits are non-refundable, as they’re used to secure your reservations. However, we’ll always do our best to recover funds or offer flexibility where possible, especially if travel is disrupted by something beyond your control.
Can you give me a price breakdown so I know where my money is going?
Unfortunately, we cannot give price breakdowns due to the confidential nature of the contracted rates we receive from our partners. We can, however, give you a high level breakdown of the approximate amount spent in transportation, accommodation, and meals & tours.
Are there extra fees or taxes I should expect?
We believe in transparency. Any mandatory fees or taxes will be clearly outlined in your quote. Our pricing is inclusive, so you’ll never be surprised with additional costs when you arrive.

What exactly do your services include?
We handle everything from the moment you reach out until you return home. That includes destination advising, itinerary design, booking of accommodations and experiences, expert recommendations, and on-the-ground support throughout your trip. We also build in thoughtful extras, whether it’s a bottle of wine in your room or a surprise dinner reservation.
How personalized are the itineraries?
Every itinerary we create is completely custom. We start with your interests, travel style, and pace, then design a journey around what matters most to you. Whether you want wellness, adventure, culture, or a bit of everything, we shape the experience to fit you, not the other way around.
Do you offer 24/7 support while I’m traveling?
Yes. We offer around-the-clock support while you’re traveling. If something unexpected comes up, like flight delays, weather issues, or last-minute changes, we’re just a message or phone call away.
Can you accommodate special interests or requests?
Of course. We love planning honeymoons, family adventures, food- or wildlife-focused trips, and anything else you can dream up. We can also tailor experiences to meet mobility needs, dietary preferences, or any special occasion.
Do you use local guides and experiences?
Yes. We work with trusted local partners who share our values: passionate guides, family-run lodges, conservation-minded outfitters, and community-based projects. It’s how we ensure authenticity, insight, and impact.
Can you plan sustainable or eco-conscious trips?
Sustainability is central to how we travel. We prioritize properties and experiences that support local communities, protect natural ecosystems, and offer meaningful connections instead of mass-market tourism.
How is Osaviva different from other travel companies?
We’re not a big-box agency or an algorithm. We’re a boutique, human-driven company with deep regional knowledge and a passion for responsible, luxurious travel. Our clients come to us for thoughtful curation, seamless service, and the peace of mind that comes with having an expert in your corner.
What should I pack?
We recommend packing as light as possible, mainly because most domestic airlines in Latin America have restrictive baggage policies (you can usually travel with more baggage than the allowed amount, but there is a cost). That being said, the specific requirements for your trip will vary depending on where and when you're traveling, so we provide all guests with a suggested packing list before your departure.
Can you help arrange my travel visas?
Requirements for travel visas vary depending on your nationality and your destination. We are unable to arrange visas on your behalf, but can provide you with resources to help you determine if visas are required for your travel. If you do require a visa, you can arrange it yourself, or through a visa processing company.
What vaccinations are required for my trip?
It is your responsibility to ensure that you have the appropriate vaccinations or medications needed for your trip. The only way to receive the most accurate, up-to-date travel health information is through your family physician or a specialist at a travel health clinic. Bear in mind that many vaccinations need to be given months before departure (and may require boosters) to reach full efficacy.
Are tips or gratuities included? If not, how much should I budget?
Tips are not included in your trip price, and are given at your discretion. The trip documentation you'll receive prior to departure includes country-specific suggested tipping amounts for tours, transfers, restaurants and other services.
